Privacy Policy

1. Who we are

MiStarStudio ("we", "us") provides MiStarStudio HMS, a hostel management system for hostels in Ghana. This policy explains how we handle personal information when you visit hms.mistarstudio.dev, try our live demo, or contact us. Our business details are on the Contact page.

[CONFIRM: registered business name and Data Protection Commission registration number, if registered]

2. What this policy covers

This policy covers visitors to our website, people who try the demo, and people who contact us about HMS. It does not cover the websites and systems we set up for individual hostels. Each hostel decides how its students' and staff members' information is used and has its own privacy policy. When we handle that information, we do so on the hostel's behalf and under our agreement with the hostel.

3. Information we collect

Information you give us. When you contact us by WhatsApp or email to book a demo or ask about HMS, we receive what you send, such as your name, phone number or email address, your hostel's name, your number of beds, and your preferred time for a demo.

Information collected automatically. [CONFIRM: if analytics are used, name the tool and what it collects, for example pages visited, device and browser type, and approximate location. If none are used, say so.]

Our hosting providers may keep standard server logs, such as IP addresses and request times, for security and reliability.

The demo. The demo uses sample data about a fictional hostel. Please do not enter real personal information into it. [CONFIRM: whether the demo stores anything visitors enter]

4. How we use your information

  • To reply to your enquiries and arrange demos.
  • To provide, secure, and improve our website and demo.
  • To follow up about HMS when you have asked us to.
  • To meet our legal obligations.

We do not sell your personal information. [CONFIRM]

5. Our approach to the law

We handle personal information in line with Ghana's Data Protection Act, 2012 (Act 843). We collect only what we need for the purposes above, and we ask for your consent where it is required.

6. Who we share it with

We share personal information only with service providers who help us run our website and communicate with you, such as hosting, messaging, and email providers, and with authorities where the law requires it. WhatsApp messages are handled by WhatsApp under its own terms.

[CONFIRM: list the providers you use]

7. Storage and security

We take reasonable steps to protect personal information, but no method of storage or transmission is completely secure. Your information may be stored on servers outside Ghana. [CONFIRM: hosting regions]

8. How long we keep it

We keep personal information only as long as we need it for the purposes above. [CONFIRM: retention period for enquiries and messages] After that, we delete or anonymise it.

9. Your rights

Under the Data Protection Act, 2012 (Act 843), you can ask us what personal information we hold about you, ask us to correct it, ask us to delete it where appropriate, object to certain uses of it, and withdraw any consent you have given. To make a request, email [CONFIRM: email]. We will respond within a reasonable time.

10. Cookies

[CONFIRM: if the site uses only essential storage, say so here. If it uses analytics or other cookies, describe them here and add a cookie notice.]

11. Children

Our website is meant for hostel owners, managers, and staff. It is not directed at children.

12. Changes to this policy

We may update this policy. The date at the top shows when it last changed.

13. Questions and complaints
